Facility Rentals

Outside of regular school hours, the school building and grounds facilities are available for public rental. General information and guidelines are below. 

How to Reserve Space

Before completing a reservation request, please review the facilities calendar to ensure the space is available. Select the appropriate form from the list below. The facilities request and banquet request forms are fillable. Type in your answers, print, sign, and return to our office. 

You may drop off forms at the Community Education office in the Wylie Pool lobby, mail them to us at 3060 Kensington, Dexter MI 48130, email them, or fax them to our office: (734) 426-9515.

Athletic Team Practice and Game Requests are submitted to the Athletic Department, where they will be reviewed/approved, and forwarded to our office for booking. Off-season and travel team reservations will be completed after school sports and community education programs have been booked. Athletic department fax: 734-424-4251.

DCS Staff and Coaches

DCS Staff and Coaches: please review the School Facility Reservations Guidelines before requesting space.

Staff and Coaches must reserve:

  • Any use of your personal classroom space outside of regular class hours: evening academic or athletic events, team practice, fundraisers, private parties. 
  • Any use of school group spaces (gyms, cafeterias, parking lots) outside of regular school hours. All requests must be made in writing. 
  • One-time events should be requested no later than two weeks prior to your event so that we can secure custodial and maintenance needs. 
  • Please use the Banquet Request Form for team/club banquets. This ensures we can meet your technology and custodial needs. banquet requests only can go directly to Community Education (contact info above). Please note: we do not schedule team banquets on weekends.
  • Coaches must submit both practice schedules and games each season. These go to the Athletic Department Office first for coordination with other teams. The AD will forward them to our office for booking. 

Pool Parties:

  • Staff should use the pool request form for pool parties -- just cross out the pricing sections and write "staff" across the top. The cost for class pool parties is $30 per class for one hour of swim time. Two classes can be booked at the same time. You can use a single form for a joint party if both teachers sign it. Each teacher will receive a separate bill. The fee is payable by cash, check, or charge, to Community Education, by the day of the party. 

Deadlines:

Annual Event Academic Requests: if possible by the end of June for the following fall; preferably by September each year. At that point we start booking outside rentals. Help us help you: optimizing our resources for public rentals means income that we can use to support school programs and maintain/improve facilities.

Athletic team requests for each season must be in by these dates: Fall-July 15; Winter-October 15; Spring-January 15; Summer (INCLUDING CAMPS)-April 15. Athletic Team Requests are submitted to the Athletic Department (bavineaum@dexterschools.org) , where they will be reviewed/approved, and forwarded to our office for booking.

Regular CPA users will meet with our representative in April/May each year to coordinate the next school year's productions. Annual CPA requests must be submitted prior to the end of the school year for events starting in fall.

Pool Parties: Please submit end of term and end of year pool parties as soon as possible. Parties are booked on a space available basis, in the order they are received. *They will not be entered into the system until a month or so prior to the party date due to lifeguard scheduling.*

Public Rentals

Information for Public Rentals

Public Rentals include profit and non-profit groups from Dexter and elsewhere, individuals, and organizations.

Rates

  • Boy and Girl Scout Groups pay a flat fee of $120 per school year for up to twenty regular meetings in the space of our choosing. Special events will be charged at the club rate for the room being used.
  • School Booster Groups do not pay for regular meetings. Booster club special events are evaluated for fees on a case-by-case basis. Booster events that require overtime custodians will typically have to cover those charges. 
  • Non-profit groups must be registered non-profits. 

Insurance

All building, field, and lot renters must provide a Certificate of Liability Insurance for their event, with Dexter Community Schools listed as additional insured.

Planning

Check the facility calendar to see what is available before making your reservation request. You can filter search results using the box in the top right hand corner of the page; select facility and/or room category to limit the results to the exact spaces you are interested in.

All general facility requests must be made at least 15 days before the event: life guard schedules and custodian/grounds crew schedules are assigned a week in advance, as well as the exterior door unlocking schedule. We also need time to resolve scheduling conflicts, schedule staff, and prepare facilities. We recommend you contact us as soon as you know your event's details for best service.

Scheduling Priority*

School District facilities will be reserved on a space-available basis according to the following priority list:

  1. DCS Academic Programs 
  2. DCS Athletic Department Programs 
  3. Community Education programs and events 
  4. Public Rentals Dexter community organizations, clubs, and residents 
  5. Non-local organizations, clubs, and non-residents 

*In the unusual event that a rescheduled higher-priority event bumps another reservation, we will make every attempt to reschedule the bumped booking at everyone's earliest convenience.

Start Times/End Times

Please help us help you:

  • For security reasons we are only able to unlock exterior doors for evening and weekend events 15 minutes before the program begins. If you need set-up time please add that information to your request in advance so we are sure to have the building open for your scheduled set-up. 
  • For gym and field rentals: if you have scheduled your group to begin practice at 6:00 p.m. you can have access to the court or field at 6:00 p.m. If you're scheduled to end at 8 p.m. it means that at 8:00 p.m. your team is off the field or court so the next scheduled group is able to begin their session. 

Confirmation of Booking

Once we have confirmed availability of space for your request, we will send you a contract which you must sign and return to us in order to guarantee the reservation. Before signing, please review all times, locations, and technical/equipment/custodial requests for accuracy.

Cancellations

If your rental is disrupted due to weather, power outage, or some other facility related issue youmust inform us no later than 7 days after the day of the event in question or you will be billed for usage that day. This policy will help us be more consistent in our billing from month to month.

Any cancellation or modification (reducing or increasing hours and/or services) of a facility rental that is unrelated to weather, power outage, or other similar issues must be done 15 days prior to the date in question or you will be billed for your original reservation. The 15-day period gives Community Education an opportunity to rent a room that would otherwise sit empty. Our contractual obligations require us to pay employees once the request for work hours is posted and accepted at the 15-day point.

Billing and Payment

We send out invoices at the beginning of each month for events through the end of that month, directed to the reservation requester unless otherwise indicated. We accept payment by cash, check, or credit card. We can accept credit card payments over the phone for your convenience.

Gym Rentals

If you are renting a gym for youth physical activity, all users must have a signed CDC HeadsUp Info Sheet on file prior to first use.

Theater Rentals

Copeland Theater and the Center For Performing Arts        

The Dexter Community Schools District has two theater spaces available for public rental: Copeland Theater, and the Center for Performing Arts (CPA). 

These venues are suitable for conventions or conferences, concerts, theater productions, and company meetings. When not in use by school groups, both theaters are available from September through mid-June weekdays from 3pm-10pm, and weekends from 7am-10pm. During summer months, they are available from 7am-10pm daily. 


Copeland Theater

Copeland Theater is located in our Administrative Building at 7714 Ann Arbor Street, seats 280.


Center for Performing Arts (CPA)

Pool Rentals

Pool Parties and Private Rentals

The Dexter Community Pool is available for public rental when not in use by school teams and Community Education programs. 

We have two options for pool party rentals:

  • Open Swim Party -- $100 for two hours of open swim & use of hospitality room for up to 25 swimmers
  • Private Pool Party -- $180 for two hours of private swim & use of hospitality room for up to 60 swimmers
